Programmes Coordinator
Job Summary
The Programme Coordinator role is a critical administrative position in the academic affairs division. The Programme Coordinator performs a variety of student services in liaison with academic and administrative leads that support students’ studies from registration to graduation. The Programme Coordinator is the primary contact for students.
Responsibilities include academic advising, registration, student retention, maintaining student records for reporting purposes, and analysing student needs and eligibility for financial aid. Programme Coordinators are guided by UCC’s policies and procedures for supporting instructional delivery and are proactive in consulting with Heads and communicating matters that could interfere with students’ successful completion of their studies.
This role requires strong multitasking, organisation, communication skills, and effective use of technology for information management and business functions. Maintaining healthy professional relationships with academic and administrative leads, librarians, faculty, staff, fellow programme coordinators, and students across face-to-face, online, local, global, and regional settings is essential.
Responsibilities (Includes but Not Limited To)
- Counsel and advise students and prospective students on admissions, transfer, advanced standing, academic, financial, and programme requirements within the School of Behavioural Sciences, Humanities and Law.
- Counsel admitted students on course selection, transfer arrangements, prerequisites, and transition to university life.
- Support the Admissions Department by reviewing documents and conducting interviews with mature entrants.
- Enroll students in course sections in consultation with department heads and make decisions on merging, cancelling, or creating sections in accordance with university guidelines.
- Coordinate the selection of faculty Course Leaders to facilitate standardised instruction and timely preparation of examination papers.
- Facilitate and participate in departmental meetings for team building, planning, reporting, and compliance.
- Monitor and facilitate class observations and completion of course portfolios by full-time and adjunct faculty.
- Maintain accurate records on advising, incident reports, alternate examinations, and provide data for reporting, accreditation, and institutional effectiveness.
- Provide timely information to students and faculty regarding class schedules, formats, access, observations, and academic calendar events.
- Process adjunct lecturers’ contracts and claims to ensure timely and accurate remuneration.
- Assist in supervising departmental staff and recommend operational improvements.
- Participate in curriculum development meetings, discussions, and seminars relevant to programmes offered.
- Provide information to internal and external stakeholders on programmes, teaching cycles, practicum requirements, examinations, career opportunities, and related matters.
- Liaise with students regarding timely payment of course fees in collaboration with the Accounts Department.
- Support recruitment activities including information sessions, interviews, seminars, and workshops.
- Assist in preparing monthly status reports outlining activities, challenges, actions taken, and recommendations in consultation with the Head of Department.
- Streamline practicum courses by evaluating and formalising practicum sites and developing updated practicum guidelines.
- Assist with the promotion of programmes through career expositions and engagement with employers, employees, and students.
- Participate actively in planning and preparation for Annual Commencement, research conferences, and other UCC events.

Knowledge
- UCC Global and UCC academic policies and practices.
- Academic policies and Student Handbook guidelines.
- Instruction and assessment in Humanities and Social Science disciplines.
- University of London and UCC Bachelor of Law programmes.
- Learning Management Systems and educational technologies.
- Practicum site operations.
Skills and Abilities
- Strong knowledge of the programmes being coordinated.
- Excellent interpersonal and communication skills.
- Ability to exercise initiative and judgement in interpreting policies and procedures.
- Ability to establish and maintain effective working relationships with staff, faculty, and students.
Requirements
- Minimum of five (5) years’ experience in a similar or related position.
- Bachelor’s degree in Business Studies, Humanities, Social Sciences, or a related field.
- Ownership of or access to a reliable motor vehicle.
- A master’s degree would be an asset.
